I’m registering for an event

What information do you ask for? 

SUNI runs many different events, from Camps & Missions food hygiene training to the Leadership Development Course.  When you register we will ask for whatever information is appropriate to the event – this may be as little as your name and your team, or we may need to know more (e.g. name, email, address, home phone number, age, date of birth, school year etc).

Why do you need this information?

We use this information to plan, run and follow up on the event.  Where appropriate, we may use this information to issue training certificates and to charge teams for training costs.

Who do you share my information with? 

The staff member running the event has access to all the information you give us via Eventbrite, JotForm or our website, and uses it to plan, run and follow up on the event or training.  Your information is only shared with other staff, leaders and trainers as necessary.  We may use Mailchimp to keep in touch with you about the event (for more information on Eventbrite, JotForm and Mailchimp please see our Third parties section).

How is it kept secure? 

Before the event, only one passworded staff member can access all the information from Eventbrite or JotForm or from our own website.  They will download this onto a spreadsheet on their encrypted, passworded computer to be used in planning the event (for more information on Eventbrite, JotForm and our website please see our Third parties section).

For how long do you retain my data?

Once the event is over and any follow up is complete, we have no reason to continue processing your information.  We will delete any files which have been downloaded from Eventbrite, JotForm or our website onto staff laptops.  We will ask Eventbrite or JotForm to delete the event information; where registration has taken place via our website, we will delete the web forms annually.  We will retain current training lists (e.g. First Aid) to ensure that summer teams have enough qualified volunteers.  In some cases we may archive lists of participants to our secure server for insurance purposes.  These can only be accessed by passworded staff with data responsibilities, and would only be accessed for legal reasons.
